Arctelia - AI Guidance Service Terms
These AI Guidance Service Terms explain how Arctelia's AI features work, what data is sent when you request guidance, and the limits of the service. They are meant to be read alongside the Terms and Conditions and the Privacy Policy.
1. What AI Guidance Is
Arctelia AI Guidance is a reflective service. It reads the material you choose to submit and returns observations, synthesis, and questions intended to support your practice. It is not an autonomous agent, a background monitoring system, or a generator that makes creative work for you.
The practitioner remains responsible for decisions, interpretation, and the work itself.
2. When AI Processing Happens
AI processing is triggered by your actions. In practice, that means it happens when you submit a session log, request guidance, ask for synthesis, or use another AI-labeled feature inside the product. We do not run background AI processing on your private content without an action that initiates it.
3. What Gets Sent
3.1 Entry, Project, and Session Context
When you request guidance, Arctelia may send the current entry and the surrounding context needed to make that entry legible. Depending on the feature, this can include:
- The current entry text, notes, intent, and craft context
- Project summary, phase context, and recent entries from the same project
- Structured session data such as conditions, craft log fields, and related metadata
3.2 Artifacts
If your request involves artifacts, Arctelia may send those artifacts or a temporary access method for them to the relevant provider.
- Images may be sent for visual analysis through time-limited signed URLs
- Audio may be sent for transcription or analysis
- Video may be sent when you invoke a feature that supports video analysis
3.3 Location Context
If the relevant entry includes place context, we may send coarse location information such as city or region to improve the response. We do not send precise background-tracking location because Arctelia does not do background location tracking.
4. Providers
Arctelia uses multiple providers because different models are better at different tasks. The provider used depends on the feature you invoke and the artifact type involved.

5. Model Training and Retention
We do not send your content to AI providers for the purpose of training their public models. We do not use your content to train our own models. We choose providers whose API terms generally prohibit training on API inputs, but we cannot independently guarantee every internal practice of those providers.
Guidance text generated for your sessions is stored alongside the associated entry so you can revisit it later. When the related entry or account is deleted, that stored guidance is deleted with it, subject to the backup windows described in the Privacy Policy.
6. What AI Guidance Does Not Do
- It does not create images, prose, music, or code on your behalf as a core Arctelia output
- It does not replace your judgment, expertise, or responsibility
- It does not provide medical, legal, financial, or safety-critical advice
- It does not monitor your content in the background waiting to act on its own
7. Limitations and Risk
AI outputs can be incomplete, wrong, overly confident, or poorly matched to the nuance of your practice. Use the guidance as reflection, not as authority. If a response touches health, law, safety, finances, or another high-stakes domain, do not treat it as professional advice.
8. Relationship to Other Policies
These AI Guidance Service Terms supplement, and do not replace, the general Terms and Conditions and the Privacy Policy. If there is a conflict about general account rules, billing, or liability, the Terms and Conditions govern. If there is a conflict about retention or your privacy rights, the Privacy Policy governs.
9. Changes to These Terms
We may update these terms as the AI features evolve. When we do, we will update the date at the top of this document and notify registered users by email before changes take effect.
